Scholarships Exceptional Circumstances Policy

 

Awarding the Coleg Cymraeg Cenedlaethol Scholarships
The Coleg recognizes that individual students may be affected by a wide variety of difficulties and circumstances, which may prevent them from submitting a Scholarship application form on time. It is not possible for the Coleg to award scholarships to students who have not submitted an application or who submit a late application, unless there are exceptional circumstances that should be considered.

What are exceptional circumstances?
Circumstances beyond the student's/pupil's control that have prevented them from submitting an application by the closing date. This could include (but is not limited to);

  • Serious short-term medical problems or an ongoing health condition that has significantly worsened (including mental health/well-being)
  • Death of a relative or close friend
  • An accident
  • Personal problems
  • Family problems, such as divorce
  • Sexual assault/rape
  • A period of self isolation/quarantine
  • Caring responsibilities and domestic difficulties

The following will not be considered as exceptional circumstances:

  • Haven't heard about the deadline / misread details
  • Technical problems with a personal device when submitting an application
  • Events conflicting with the deadline, e.g. holiday, wedding, jury service
  • More than one deadline on the same day
  • Poor time management
  • Medical circumstances outside the relevant application period
  • Transferred institution / degree course

The Appeal Process
The student/prospective student must submit an appeal request within 30 days of the closing date. The application must be submitted in writing (email/letter) to the Coleg, including any relevant evidence of exceptional circumstances. The Coleg will give detailed consideration to any appeal submitted by students/prospective students. The right is reserved to contact Branch Officers and the universities to check details.

The student/prospective student will be notified of the outcome of the appeal within 10 working days. It may be necessary to respond to further inquiries from the Coleg within these 10 days.

Types of evidence
The following list gives you an idea of the types of evidence you will need to provide in order to support your appeal. You should provide the most relevant evidence to support your appeal.

  • A letter from a medical health worker or professional counsellor
  • Letter / evidence from an independent professional
  • Death certificate
  • Obituary / order of service
  • News / media report
  • An official witness report / police report which gives information relating to a crime
  • Letter from bank / debt letters
